Privacy Policy

Last updated: October 2, 2026

Eph Apparel, Inc. (“Eph Apparel,” “we,” “us”) makes custom menswear from our showrooms in Winnipeg and Calgary, online at ephapparel.com, and through our travelling representatives. This policy explains what personal information we collect, why, who we share it with, and the choices you have.

We follow Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and, for our Calgary showroom, Alberta’s Personal Information Protection Act (PIPA).

1. Who is responsible

Our Privacy Officer is responsible for how we handle personal information:

Teri Seifert, Privacy Officer
Eph Apparel, Inc.
4-190 Smith St., Winnipeg, MB R3C 1J8
[email protected]
1-888-343-6117

2. What we collect

When you order or book with us:

  • Your name, phone number, email address and city, and your shipping or billing address.
  • Your measurements, fit notes and style preferences, so we can make your garments and make them again later.
  • Photos taken during fittings, which help our factories get your fit right.
  • Details of your orders, appointments and alterations.
  • For weddings, grads and group events: the event name, date and city, and the names and contact details of others in your party that you or they give us.

When you pay: payments are processed by Square. We see the amount, date and the last digits of the card, but we do not store your full card number.

When you contact us: the content of your emails, texts, calls and support requests, and notes we make about them.

When you use our website: if you create an account or sign in with Google, we receive your name and email from Google. Our website also collects technical information such as your device, browser and pages visited, using cookies and similar tools (see section 9).

We collect only what we need for the purposes below.

3. How we use it

  • To make, alter, ship and deliver your order, and to keep you updated about it.
  • To book, confirm and remind you of appointments.
  • To answer your questions and handle problems with an order.
  • To keep your measurements, fit photos and history, so your next order fits.
  • To send you news and offers, only if you’ve agreed to receive them (see section 5).
  • To show you relevant ads on other websites and social media (see section 9).
  • To run our business: accounting, record-keeping, preventing fraud, and improving our service.
  • To meet legal and tax obligations.

We won’t use your information for a new purpose without telling you and, where required, asking for your consent.

4. Who we share it with

We do not sell your personal information.

We share it only with service providers who help us run our business, and only what they need to do their job. They are required to protect it and may not use it for their own purposes. They include:

  • Our factories in China, which receive your name, measurements, fit photos and order details to make your garments.
  • Square, for payments.
  • ActiveCampaign, for our email and text communications.
  • Acuity Scheduling, for appointment booking.
  • Twilio, for sending and receiving text messages.
  • Freshdesk, for customer support requests.
  • Grasshopper, our phone system.
  • Shipping carriers, to deliver your order.
  • An AI service that helps us answer text messages (see section 6).
  • Collins Clothiers, if you rent with us, for rental orders.
  • Google and Meta, for website analytics and advertising (see section 9).

We may also disclose information when the law requires it, or to protect our rights or the safety of others.

Information outside Canada. Some of these providers store or process information outside Canada, including in the United States and China. While there, it may be accessible to courts, law enforcement and national security authorities under local law.

5. Your consent and your choices

By ordering or booking with us, you consent to us using your information to provide that service, including sending your measurements and fit photos to our factories. Depending on how sensitive the information is, we may ask for your consent more directly.

  • Marketing: we send news and offers only if you’ve agreed to receive them. Every marketing email and text includes a way to unsubscribe, and you can also contact us.
  • Withdrawing consent: you can withdraw consent at any time, subject to legal or contractual limits. If you withdraw consent we need to make or deliver an order, we’ll explain what that means.

6. Text messages

What we send

If you choose to receive text updates (by ticking the box at checkout, or by telling our staff in store), we’ll text you about that order: when it goes into production, when it’s on its way, when it’s ready to pick up or try on, and when it has shipped to you. If you book an appointment with us, we may also text you reminders about it. Each order update includes a private link to a page showing that order’s status.

These are service messages about orders and appointments you’ve made with us. We don’t send marketing or promotions from this number. If you’ve separately agreed to hear about offers from us, those come from a different system, with their own consent and unsubscribe options.

Replies and our assistant

You can reply to our texts. Replies may first be answered by an automated assistant that can look up the status of your order and our store hours and locations. It will tell you it’s an assistant. If it can’t help, or if you ask for a person, your message is passed to our team, who will reply.

How often

Message frequency varies with your order, usually a handful of texts over the life of each order. Message and data rates may apply.

Opting out

Reply STOP at any time to stop all text messages from us. You’ll get one message confirming you’ve opted out, and nothing after that. Reply HELP for help, or call us at 1-888-343-6117. Opting out of texts doesn’t affect your order. We’ll still be able to reach you by phone or email about it.

Who handles your texts

We use Twilio to send and receive texts, and an AI service to help answer replies. They process your mobile number and messages only to provide these services to us, and may do so outside Canada, including in the United States.

We do not sell your mobile number, and we do not share it or your text-messaging consent with third parties for their marketing.

7. Order status links

Order texts include a private link to a page showing that order’s status. Anyone with the link can see that page, so please don’t share it. The page shows your first name, order number, progress and estimated dates. It never shows prices, payment details or your contact details. Links expire after a set time, and you can ask us for a new one.

8. Young people

Many grad suits are ordered for students under 18. A parent or guardian usually places the order and provides the information on the student’s behalf. When a student orders for themselves, we collect only what we need to make, fit and deliver their order, and we use it only for that.

9. Cookies, analytics and advertising

Our website uses cookies to keep you signed in, remember your cart, and understand how the site is used. We use:

  • Google tools, to measure how our website is used and to show our ads on Google and its partner sites.
  • The Meta Pixel, which tells Meta (Facebook and Instagram) about visits and actions on our website, so we can measure our ads and show them to people likely to be interested.

These companies may combine this with other information they hold about you under their own privacy policies. You can manage or turn off personalized ads in your Google ad settings and your Meta ad preferences, and you can block or delete cookies in your browser settings. Some parts of our site may not work without cookies.

10. How long we keep it

We keep personal information only as long as we need it for the purposes above, or as the law requires:

  • Measurements, fit notes, fit photos and order history: for as long as you’re a client of ours, so we can remake or alter your garments at any time, even years later. You can ask us to delete them whenever you like.
  • Financial records: as long as tax law requires (generally six years in Canada).
  • Text message conversations: up to 12 months.
  • Your opt-out choices: as long as needed to make sure we respect them.

When we no longer need information, we delete it or make it anonymous.

11. How we protect it

We use reasonable physical, organizational and technical safeguards suited to how sensitive the information is. These include restricted access, accounts limited to the staff who need them, secure storage and transfer of fit photos, and service providers with their own security obligations. No system is perfectly secure. If a breach creates a real risk of significant harm to you, we will notify you and the Privacy Commissioner as the law requires.

12. Your rights

You can ask us:

  • What personal information we hold about you, how we’ve used it, and who we’ve shared it with.
  • To correct information that’s wrong or incomplete.
  • To delete your measurements and fit photos.
  • To withdraw your consent, as described in section 5.

Contact our Privacy Officer (section 1). We may need to confirm your identity first. We’ll respond within 30 days, or tell you if we need more time and why.

13. Concerns and complaints

If you have a concern, please contact our Privacy Officer first so we can try to fix it. If you’re not satisfied, you can contact:

  • The Office of the Privacy Commissioner of Canada: priv.gc.ca, 1-800-282-1376
  • For our Calgary showroom, the Office of the Information and Privacy Commissioner of Alberta: oipc.ab.ca, 1-888-878-4044

14. Changes to this policy

We may update this policy from time to time. The “last updated” date at the top shows when. If we make a significant change to how we use your information, we’ll let you know.
